To streamline the process, we kindly request payment information be provided at the time of booking or five business days prior to your event. For off-campus partners or events, a 50% deposit is required upon booking, with the remaining balance paid in full and due seven business days in advance.
To ensure that your event is everything you envision and more, we kindly request that you book at least 10 business days in advance. However, we understand that sometimes plans change unexpectedly, and we’ll do our best to accommodate your needs. Please allow a maximum of three (3) business days for a formal quote to be returned. Chartwells Catering calculates all labor required to work an event into the overall cost estimate to the client. Refreshment breaks, receptions, and buffet events for a minimum of 12 to 50 guests include (1) staff member to set-up, deliver and tear-down – at NO additional fee. Chartwells Catering estimates one (1) food attendant per 50 guests for a buffet event. For parties with more than 50 guests, additional labor will be added. NOTE: All orders under $300 based on availability and will require pickup only option.
For a truly customized experience, such as custom menus and themes, we kindly request a 14-day notice to allow for thoughtful menu planning and sourcing of the freshest ingredients. Depending on the nature of any custom requests, Chartwells Catering may charge an additional Production Fee of special diet meals based upon the complexity of the requirements. Additionally, requests for multiple entrees and sides to be produced for one single event that are in addition to a standard published menu may incur an additional production fee.
Your confirmed guest count is crucial for us to deliver impeccable service. Please provide us with the final count 10 business days prior to your event to ensure a seamless experience for all attendees. If you do not contact us with a final guarantee 10 business days (not including event day) prior to your event, we will use your estimated number as your guarantee and charge and bill according to your estimated guarantee or actual number of guests served, whichever is greater. Guest counts cannot decrease from the initial booking.
Your guests’ dietary preferences are important to us. Please inform us of any special dietary requirements as soon as possible, and no later than five business days prior to your event. Our culinary team will work diligently to accommodate these needs.
Chartwells Catering staff will deliver and set-up your catering order on campus. This set-up includes a tablecloth for the food ordered and all appropriate service ware. The catering staff will return at the designated time to pick up the remains of the food and all other service utensils. At that time, any clean-up related to the food served will be the responsibility of the Chartwells Catering staff to clean. External events may incur additional delivery fees and fuel charges.
Please remember to provide tax-exempt forms to our office three business days before your event to ensure smooth processing.
For all non-food-related equipment needs, please contact the Debi Kaul at (307) 675-0600 to coordinate room reservations, setup, audiovisual equipment, and other requirements. As there are multiple buildings on campus, please confirm your space, guest counts, and event details with both facilities and catering.
For your convenience, disposable serviceware is provided with all orders to accommodate the guaranteed guest count. Should you desire china and glassware, these are available for an additional cost per person.
We include tablecloths for all food and beverage service tables at your event. Additional tablecloths for non-food tables are available for a $6.99 fee. We offer black only. Please inquire about sizing and any additional colors that could be offered. Specialty linens can also be arranged at market price. If desired, event planners may work directly with the rental company to avoid additional costs associated with ordering rentals.
While we hope that cancellations won’t be necessary, we understand that circumstances may arise. We kindly ask for at least 10 business days’ notice for cancellations to avoid any charges. In the event of unforeseen cancellations, within 10 business days, you will be billed for any expenses we incur related to preparation for the event.
We will make every effort to accommodate your specific requests and needs. However, please understand that changes requested the same day of your event or within the five (5) day window of your event may not be feasible and additional charges may be required to accommodate your request.
Menu items may fluctuate in price due to seasonal influences, availability, and market conditions. We have priced our menu based on current in-season pricing and market conditions. We will honor the pricing whenever possible but reserve the right to adjust pricing if the market conditions make changes necessary. Price quotes will be reconfirmed 30 days prior to the event. Any event booked within 30 days will be billed as quoted.
To ensure that the food for your event is bountiful, we prepare knowing that there will be food left over. For this reason and due to liability issues and state health regulations, food may not be taken from the event and will not be packaged for removal from the premises. Chartwells will not be held responsible for food items removed from the catered event.
